The ability to answer questions effectively is crucial when presenting, especially in a professional or business context. But most often, it is less about the answer itself and more about how you deliver it.Â
A recurring topic in my training is how to answer questions effectively. Here is a step-by-step approach to ensure your responses are clear, relevant, and engaging.
Step 1: Acknowledge the Question
First, always acknowledge the question. It's essential to make sure you've understood it correctly. Begin by expressing gratitude: "Thank you for that question." Then, clarify what you've heard. For instance, rephrase, "What I understand you're asking is how many days this project will take." This step ensures you're on the same page as your audience and addresses the correct inquiry.
Step 2: Deliver the Answer
Now, it's time to provide your answer. The key here is to be direct yet thorough. For straightforward questions where the context is clear, a simple answer suffices. For instance, "The project will take approximately 10 to 12 days." This direct response is suitable when no further explanation is required, but not always, as we will see later.
Step 3: Validate Your Response
After answering, validate that your response indeed addresses the question. A simple way is to ask, "Does that answer your question?" This not only confirms understanding but also opens the door for further clarification if needed.
Navigating Complex Questions
Sometimes, questions are not as straightforward. They may lack context, be based on assumptions, or require a deeper level of explanation. Here's how to navigate these scenarios.
Direct Answer
When the context is evident, and the query is unambiguous, a direct answer is appropriate, and there is no need to circumvent. For instance, "Yes, the project will take about 10 to 12 days."Â
The PREP Method
In situations where the context is understood but demands more explanation, use the PREP (Point, Reason, Example, Proof of Point) method. Begin with a concise response, then elaborate. For example, "The project will take 10 to 12 days because we need additional preparation time, for example, scriptwriting and team alignment. This leads to a more cohesive project execution, for a total cost of 10-12 days."
Define-Reframe-Reply
When faced with vague or improperly framed questions, use the Define-Reframe-Reply approach. First, redefine the question to make it more precise, then reframe it to suit your expertise, and finally, respond. For instance, "I understand you're asking about the project's duration. However, focusing on cost provides a clearer picture. The project will cost around $35,000, equating to 10 to 12 work days at this seniority level."
Situation-Tension-Resolution
For broad or unclear questions, the Situation-Tension-Resolution model, a storytelling technique, is compelling. Describe the current situation, highlight the tension or problem, and then provide the resolution. For example, "Typically, we rely on a specific partner for production, but they're currently facing factory issues. This tension has led us to switch partners, requiring adaptation in their production line. As a result, the project will now take 10 to 12 days instead of the usual five."
